Event Coordinator (Part-Time 20 hours a week)
Location: Watertown, MA
We are seeking an experienced and resourceful event coordinator (contractor) to support a variety of internal and external events and projects. This role is essential in ensuring that events are executed smoothly, efficiently, cost-effectively, and with a creative and engaging touch. The ideal candidate is collaborative, detail-oriented, and comfortable serving as both a logistics expert and a cultural ambassador.
Responsibilities
- Collaborate with internal creative teams to understand the scope and requirements of each event or initiative
- Research and evaluate vendors, providing recommendations that balance creativity, quality, and budget
- Coordinate all aspects of event logistics: book venues, manage guest scheduling, route contracts for legal approval, and finalize event timelines/run-of-show for approval
- Develop content for event materials, as well as pre- and post-event communications
- Liaise with building operations, IT, and A/V teams to ensure technical and facility needs are met
- Oversee day-to-day event administration including placing orders, managing registration lists, tracking RSVPs, and resolving participant issues
- Submit event-related expenses using an expense reporting tool (e.g., Expensify)
- Act as onsite coordinator to manage live event execution, vendor management, and issue resolution; oversee clean-up and confirm vendor deliverables and payments (shared responsibility across the team, not required for every event)
- Prior experience coordinating or planning events in a corporate or professional setting
- Strong organizational, communication, negotiation, and multitasking abilities
- Client-service mindset for both internal teams and external stakeholders
- Bachelor’s degree preferred
- Strong interpersonal skills with a proven ability to build relationships
- Familiarity with expense tracking and reporting
- Proficiency in tools such as PowerPoint, Acrobat, Excel, and basic graphic design software
