Administrative Assistant 
Contract through July 2026 
Hybrid- 2 days a week onsite in Framingham MA

Required: 
  • 8+ years of administrative assistant experience
  • Associates degree or equivalent certificate program preferred
  • Excellent interpersonal and communication skills (written and verbal)
  • Demonstrated diligence, attention-to-detail and follow-through skills
  • Proficient with Microsoft Word, Excel, Outlook and PowerPoint
Preferred: 
  • Legal Office Experience preferred
  • Experience with legal, matter management and document management systems a plus
This role provides high-level administrative support to the VP of Labor & Employment Legal and two Assistant Vice Presidents, serving as a primary point of contact for complex and confidential inquiries. Key responsibilities include managing intricate calendars, coordinating detailed travel itineraries, and overseeing logistics for meetings and large-scale trainings. Beyond typical office duties like file maintenance and mail processing, the position handles specialized legal tasks such as processing settlement check requests, managing matter management systems, and acting as a system proxy. Success in this role requires a proactive approach to cross-departmental collaboration and the ability to maintain organizational efficiency within a fast-paced legal environment.

Major Areas of Responsibility
• Provides diversified administrative support for the VP of Labor & Employment Legal and 2 other AVPs
• Schedules and maintains multiple calendars of appointments and meetings
• Responds to questions, requests, and research information. Interfaces with a variety of customers on issues which are complex or of a confidential nature
• Involve appropriate Associates from other departments or divisions to resolve issues
• Processes settlement check requests
• Organizes and maintains files and record keeping and matter management systems office layout
• Organizes meetings (Catering, Booking Rooms, Follow-up, etc.)
• Manages and administers various documents and spreadsheets
• Acts as Proxy for certain systems as needed
• Supports the mail rotation within the department, opening and scanning mail
• Supports meetings, trainings and conferences with prep and logistics needs
• Coordinates travel itineraries and process expenses
• Assists with other administrative support needs from the Legal Team and others, as needed.
