Job Description
We are seeking a detail-oriented and versatile professional to manage the intersection of Human Resources, Accounting, and Student Billing. This role is critical to the smooth operation of our school, ensuring that our 150+ employees are paid accurately and our families receive clear, timely billing for tuition and auxiliary services. The ideal candidate balances technical accounting precision with the empathy and clarity required to discuss sensitive financial matters with staff and families.

Key Responsibilities

Payroll & Benefits Administration

  • Payroll Processing:  Manage weekly, monthly, seasonal, and off-cycle payrolls for approximately 150 employees (including full-time, hourly, and seasonal staff). Ensure total accuracy within  Paylocity .

  • Benefits Oversight:  Administer medical, retirement (TIAA), life, disability, FSA, and HSA programs. Lead the annual Open Enrollment process and monitor ongoing eligibility.

  • Financial Reconciliations:  Perform monthly reconciliations of payroll, taxes, and benefits; post entries to the General Ledger. Manage HSA/TIAA contributions and life insurance premiums.

  • Lifecycle Support:  Coordinate the onboarding of new and seasonal hires and process terminations, ensuring accurate final pay and benefits sunsets.

Tuition & Student Billing

  • Billing Management:  Execute the annual tuition billing cycle and manage auxiliary billing (transportation, lunch, after-school programs, and activities) through  Blackbaud .

  • Accounts Receivable:  Reconcile tuition, financial aid, and related accounts. Professionally handle family inquiries regarding billing statements, payment plans, and delinquent balances.

Accounting, Compliance & Support

  • Audit & Tax:  Support the school’s annual audits (Financial, 403(b), 5500, and Form 990). Reconcile quarterly payroll tax filings and manage year-end adjustments.

  • Operational Support:  Oversee school purchasing and assist in setting up new vendors, ensuring tax-exempt status is properly documented.

  • System Management:  Oversee the transition from manual timesheets to Paylocity and maintain up-to-date salary and payroll records.
