Executive Assistant

This high-impact role provides executive-level support to senior leaders, ensuring seamless calendar management, travel coordination, and expense reporting. Key Responsibilities:
- Manage complex calendars and coordinate meetings for VP-level executives and senior leadership
- Arrange travel logistics, accommodation, and itineraries
- Prepare and reconcile expense reports using tools like Expensify, Prendio, and Paylocity
- Handle correspondence, meeting materials, and documentation
- Act as a liaison between top executives and internal/external stakeholders
- Support departmental operations, vendor communications, and office logistics
Required Skills:
- 3+ years supporting VP or higher-level executives
- Exceptional calendar management and organizational skills
- Proven experience with expense reporting and reconciliation
- Strong communication, interpersonal, and discretion skills
- Proficiency with Microsoft Office and Google Workspace
Nice to Have Skills:
- Experience supporting biotech or life sciences companies
- Familiarity with tools such as Expensify, Prendio, and Paylocity
- Ability to adapt to a flexible, team-oriented environment
Preferred Education and Experience:
- Bachelor’s degree in related field
- Prior experience supporting multiple executives in a corporate or research setting
Other Requirements:
- Onsite role based in Watertown, MA (5 days/week)
- Ability to start immediately
- Comfortable supporting leadership across different time zones, including German-based executives
- High level of professionalism and ability to adapt in a changing organization
