Job Summary
Provides essential administrative support to the HR Shared Services team. This role handles high-volume document management, including processing incoming/outgoing mail, maintaining digital and physical personnel files, and triaging HR cases within the document management system.
Duties and Responsibilities
- Mail & Documentation: Manage all incoming/outgoing correspondence (printing, sorting, faxing, and mailing). Distribute HR XPRESS faxes and mail to appropriate departments.
- Case Management: Log Leaves of Absence (LOA) documentation from the shared inbox into ServiceNow ; assign and update cases for HR team members.
- Records Management: Maintain personnel files for office and exempt/management associates. Upload sensitive documents into the document management system with high accuracy.
- Compliance & Auditing: Ensure proper authorization for file requests. Prepare and audit documents for external scanning vendors; follow up on missing information.
- General Support: Facilitate employment verification forms, distribute benefit enrollment materials, and issue associate discount cards.
- Special Projects: Support the HR department with ad-hoc projects as assigned.
Requirements
- Education: High School Diploma or GED required (Bachelor’s degree preferred).
- Experience: 1+ years of corporate experience, ideally in purchasing, customer service, or administrative support.
- Technical Skills: Strong Microsoft Office skillset; must be comfortable in Excel with basic formulas and data sorting.
Preferred Qualifications

Familiarity with HRIS, ServiceNow, or other case management tools.
