About the Opportunity:

Our client, a leader in the software industry, is looking for a mid-level Operations Support Specialist —someone detail-oriented and comfortable with systems, who can review/process orders, coordinate with sales and billing, and handle quarter-end crunch. This is a high-impact role that requires a self-motivated professional who can hit the ground running and deliver results quickly.

Key Responsibilities & Deliverables:

Order Review & Processing

  • Review opportunities at final stages before close to confirm quote accuracy, contract terms, and approvals.
  • Validate orders against compliance requirements and ensure accuracy before submission.
  • Monitor and process order queues to ensure timely publishing to Workday and other downstream systems.
  • Perform quality checks on order entries and escalate any blockers to the appropriate team.
  • Support quarter-end close by prioritizing high-impact orders, coordinating with cross-functional teams, and working extended hours as needed.
Sales & Cross-Functional Support
  • Respond to Help Sales Ops tickets and support Sales with deal-related questions.
  • Partner with Deal Desk on non-standard requests or approvals.
  • Work cross-functionally with Billing and Finance teams to resolve order and invoice issues.
  • Provide clear, consistent guidance to Sales on order policies and processes.
  • Support ad-hoc projects within Deal Operations to improve processes and reduce manual work.
System, Projects & Process Support
  • Assist with testing system enhancements and UAT for Salesforce, Workday, and related order workflows.
  • Support ad-hoc projects within Deal Operations to improve processes and reduce manual work.
  • Provide feedback to improve tools and systems that impact order accuracy and efficiency.
  • Help update and maintain order operations process documentation, FAQs, and playbooks.
Issue Tracking & Escalation
  • Track recurring order issues and escalate patterns for resolution.
  • Support order-related escalations with Billing, Finance, and Legal teams.
  • Provide feedback to improve tools and systems that impact order accuracy and efficiency.
  • Serve as backup to team members to ensure continuity of support during peak times or absences.
Required Skills & Experience:
  • Mid-level support (equivalent to ~2–4 years of operations/order management)
