Accounting & Operations Coordinator | San Francisco Hybrid
A well-funded, early-stage technology and research-focused organization in San Francisco is hiring an Accounting & Operations Coordinator to support day-to-day accounting administration and broader operational workflows. This is a hands-on role for someone who enjoys owning details, building clean processes, and supporting a small, high-performing team in a fast-moving environment.
This person will work closely with finance and operations leadership across bookkeeping, monthly close support, AP, payroll coordination, expense operations, vendor and contractor administration, compliance filings, and broader team operations. The ideal candidate is comfortable working in the books, managing multiple workstreams, and creating organized trackers and processes that help the company scale.
What You’ll Do
- Own day-to-day bookkeeping, including journal entries, reconciliations, and data entry
- Support monthly close and department budget tracking
- Manage AP, cash flow tracking, expenses, receipts, approvals, and vendor documentation
- Coordinate payroll processing and employee onboarding into payroll systems
- Support benefits administration, including enrollments, changes, and carrier coordination
- Help manage contractor/advisor documentation, W-9s, W-8 BENs, and 1099 processes
- Track entity compliance filings, state annual reports, and related administrative deadlines
- Maintain organized records to support audit readiness and annual reporting
- Support broader operations projects and day-to-day internal team needs
What We’re Looking For
- 3–5 years of experience in bookkeeping, accounting operations, finance operations, or a coordinator role with real financial responsibility
- Hands-on experience with journal entries, reconciliations, and month-end close support
- Experience with Xero, QuickBooks, NetSuite, or similar accounting platforms
- Familiarity with tools such as Ramp, Rippling, or similar expense/payroll systems
- Strong spreadsheet skills and ability to build and maintain organized tracking systems
- Comfortable supporting multiple entities, workstreams, vendors, and compliance deadlines
- Detail-oriented, process-driven, and able to flag issues before they become problems
- Clear communicator with high ownership and low ego
- Comfortable working in a small-team environment where responsibilities may evolve
Nice to Have
- Multi-entity accounting experience
- Experience with equity compensation or non-standard payment/disbursement workflows
- Experience in a startup, early-stage company, research organization, venture ecosystem, nonprofit, or tech-forward environment
Location
San Francisco, CA
Hybrid schedule with in-office presence expected approximately 3 days per week.
