Job Title: Administrative Assistant - Senior 
6+ Month Contract Hybrid Required:
  • 5+ years of administrative experience in a large company corporate setting, specifically supporting executive-level leadership.

  • 10+ years mastery of complex logistics , including managing multiple high-volume executive calendars, arranging intricate travel itineraries, and processing comprehensive expenses

  • Advanced proficiency in Microsoft Office , with a heavy emphasis on Excel competency and the ability to manage various documents and spreadsheets with high speed and accuracy.

  • Exceptional problem-solving abilities and the "mental agility" to act as a resourceful lead in a fast-paced environment, leveraging internal relationships to resolve complex issues.

  • Superior communication skills , demonstrating the tact, diplomacy, and discretion required to handle sensitive and confidential information

Preferred:
  • Systems expertise , specifically with Workday for department-level payroll and timekeeping administration and Oracle (expense version)
  • Expertise in office and event management , including hands-on experience coordinating catering, room logistics, and onsite needs for department summits, all-hands meetings, or leadership offsites.

  • Flexibility and adaptability , showing a proactive desire to act as a system proxy and provide back-up support to other administrative team members as needed.

  • A "team-player" mindset , with the ability to focus and execute tasks efficiently while avoiding distractions in a busy atmosphere.

The Role: We are seeking a proactive and highly resourceful Senior Administrative Assistant to provide vital support to multiple Executives within our organization. In this hybrid role, you will act as the central hub for the department, ensuring office systems and divisional procedures are administered with precision and comprehensive knowledge of company policies. Beyond traditional administrative duties, you will be the lead problem-solver for the team—interfacing with internal and external stakeholders to resolve complex issues, managing administrative projects, and providing "all-hands-on-deck" support for prep and logistics for meetings and conferences.

The ideal candidate is a flexible, detail-oriented professional who thrives in a very busy atmosphere and can pivot quickly when priorities shift. You must be adept at building relationships across departments to ensure that every travel schedule, payroll cycle, and executive initiative is executed flawlessly.
