Requirements

  • Accounting Foundation: Strong technical accounting baseline, with deep experience handling full-cycle accounts payable operations.
  • Training & Mentorship Capability: Demonstrated experience training junior staff or system end-users on newly implemented platform architectures and routing protocols.
  • Discretion & Compliance: Absolute precision in setting up system documentation controls, transaction routing, and internal authorization matrices from the ground up.

 Job Description
We are seeking a highly collaborative and system-savvy Bill.com Implementation Consultant to lead a rapid, high-impact AP automation project for a prominent Bronx-based non-profit organization. In this short-term role, you will serve as the technical project lead responsible for modernizing our accounts payable infrastructure from a highly manual system—currently using FundEZ with paper backups and separate bank portal downloads—to a fully integrated, automated cloud ecosystem. Working out of a highly accessible location steps from the 2 and 5 subway lines, you will collaborate directly with our CFO, Controller, and internal fiscal team to drive this long-delayed transformation across the finish line.
As the standalone consultant, you will completely own the system deployment lifecycle from day one, mapping existing AP procedures, interfacing with Bill.com’s corporate implementation team, and configuring ironclad approval workflows. Beyond technical configuration, a critical success metric of this role is legacy documentation and training; you will closely mentor and train our internal AP Clerk to ensure a flawless handoff and total operational ownership post-implementation. The ideal candidate is a self-starter with a "get the job done" attitude who can instantly step into a lean environment and execute a scalable system design with zero lag time.
Responsibilities:
  • Process Mapping & Diagnostic Evaluation: Survey all legacy manual accounts payable operations, paper file sequences, and bank download steps to design and map optimized future-state digital workflows.
  • System Design & Implementation: Act as the primary point of contact for Bill.com’s implementation specialists, establishing compliant transaction routing, user permissions, and multi-tier approval paths from scratch.
  • Cross-Functional System Liaison: Partner closely with the Controller and CFO to coordinate database integrations, ensuring seamless translation of invoice data into the general ledger.
  • End-User Training & Documentation: Build out localized training modules and directly coach the internal AP Clerk, ensuring they are fully equipped to independently manage and troubleshoot the software platform.
  • Quality Assurance Auditing: Ensure that the foundational system rules prevent compliance errors, preserve historical audit trails, and maintain pristine digital records.
