Requirements

  • Education: Associate or Bachelor’s degree in Accounting, Human Resources, Business Administration, or a related field.

  • Experience: 1+ years of progressive experience HRIS systems and analysis 

  • Technical Mastery: Excellent Microsoft Excel and data management skills with a proven track record of executing quality control checks.

  • Analytical Foundation: Strong analytical and problem-solving abilities with a demonstrated aptitude for interpreting and presenting data effectively.

  • Core Professional Attributes: Exceptional organizational skills, accurate data entry capabilities, and a strict attention to detail in a deadline-driven environment.

  • Discretion & Communication: Outstanding interpersonal skills with the ability to navigate sensitive, highly confidential situations with tact, diplomacy, and absolute professionalism.

Preferred

  • Direct operational experience utilizing Paycom as a primary Payroll and HRIS software platform.

  • Familiarity with database user access management, system configurations, and building electronic workflow templates (e.g., performance evaluations or approval pathways).

  • Background working in a non-profit, grant-funded, or multi-site organization requiring funder/grant reporting metrics.

Job Description
We are seeking a detail-oriented and analytical Payroll & HRIS Coordinator to support the accurate and compliant administration of our payroll processes and Human Resources Information System (Paycom). Reporting directly to the Director of Human Resources, you will serve as the primary database administrator and operational engine for our HR systems, ensuring total data integrity across all active modules. In this highly collaborative role, you will act as a vital link between the HR, Finance, and regional program teams, troubleshooting technical errors and auditing internal information workflows. The ideal candidate is a proactive, numbers-savvy collaborator who can seamlessly balance the technical rigor of high-volume payroll audits with the customer-service mindset needed to train and support our workforce.

Responsibilities:

  • HRIS Administration: Serve as the primary system administrator for Paycom, managing user access, troubleshooting technical issues, and collaborating with the vendor to deploy system enhancements.

  • Data & Lifecycle Management: Manage employee data updates throughout the full lifecycle—including onboarding documentation, lifecycle changes, status forms, leaves of absence, and separations.

  • Timesheet Compliance Audit: Review weekly timesheets to identify missing information or errors, proactively sending staff reminders to guarantee completeness ahead of payroll processing.

  • Payroll & Deduction Processing: Support the calculation and execution of hourly and salaried payroll processing, manage the entry of wage garnishments, and verify that all payroll deductions remain entirely accurate.

  • Reporting & Compliance Analytics: Generate standard and ad hoc reports to track HR metrics, support funder/grant compliance tracking, and compile clean data packages for financial, insurance, pension, and government audits.

  • Process Optimization: Assist in identifying system-based process improvements, designing and implementing new digital templates, job descriptions, and customized organizational workflows.

  • Training & Technical Support: Provide hands-on technical assistance and training to employees and managers regarding time entry rules, payroll cycles, and overall HRIS navigation.

  • Records Stewardship: Serve as the central internal point of contact for company file storage and retrieval, meticulously maintaining both physical and electronic record archives.

  • Financial Reconciliations: Review, reconcile, and properly code monthly credit card statements and internal payment vouchers to ensure proper documentation and adherence to firmwide policy.
